Willamette Vital Health, your local nonprofit that helps families through one of the most difficult times in life — losing a loved one — is searching for a Patient Services Specialist to work full-time in our fast paced, front office, Thursday thru Monday, 8:00 am to 5:00 pm.

The Role: The primary role of the Patient Services Specialist is to provide specialized administrative and phone support for clinical staff members and managers, helping to facilitate our work with patients and their families. This position regularly communicates with our clinical staff, patient care givers, providers, managers, and outside vendors to clarify, coordinate, and obtain information needed for effective patient care. As a member of our Patient Services team, the PSS assures all patient and related medical documents are properly completed and all required information is entered in the electronic medical record (EMR).

- Emotional maturity to cope with the ongoing needs of participating in a hospice program.
- Ability to answer multi-line telephone in a consistently professional and timely manner.
- Ability to scan accurately and quickly.
Requirements:
- High School diploma or GED required.
- Formal training and/or work experience in a health care setting.
- Knowledge of basic HIPAA rules required.
- Knowledge of medical terminology required.
- Two years of experience in various aspects of medical office practices preferred.
- Experience with electronic medical records programs and processing.
- Education and/or training may be substituted for some of the required experience.
- Must have current Oregon driver’s license, dependable transportation, and proof of current automobile insurance.
Responsibilities:
- Communicates throughout the day with clinical staff and managers regarding moves, respites, hospitalizations, discharges, deaths, and any other clinical concerns/issues.
- Answers multi-line telephone calls and communicates messages accurately and timely.
- Receives and greets customers in front office, directing them to sign in on visitor log, issues visitor badge, and directs to appropriate personnel.
- Generates, completes, and forwards all required patient documentation needed for continuity of care for transfers. Tracks for patient return of transfer if needed.
- Assigns patient visits/calls on the weekend and generates reports related to patient care and communication between shifts.
- Prioritizes and manages incoming calls on the weekend.
- Generates, tracks, and prepares required information for IDG, distributing and posting agendas on the agency’s intranet, communicates with clinical managers and medical staff regarding any inaccuracies and/or anomalies.
- Arranges and coordinates transportation for patients as requested by clinical staff.
- Communicates pertinent patient updates to equipment company and arranges pick up of equipment, when appropriate.
- Tracks the progress and completion of required documentation for admissions, transfers, and discharges of patients, including forwarding required documents to physicians and medical facilities according to policy and Medicare Rules.
- Notifies physicians and medical examiner of patient deaths, as required according to state law.
- Communicates referral information to vendors, sends payment responsibility forms and physician orders as needed, and tracks to ensure results or notes are obtained afterward.
- Monitors incoming electronic fax program for received faxes, forwarding to appropriate staff. Monitors outgoing electronic fax program, assisting in resolving issues, and uploads patient documents to EMR, ensures outgoing faxes are retained and attached to EMR.
- Maintains patient demographics and contacts in the EMR for outside vendors and for physician dictation.
- Prepares records for release, ensuring accuracy of signed release forms and documents are in place. Information released according to state and federal laws.
- Ensures billable sections of the EMR are accurate for billing to occur.
- Processes postage for outgoing mail. Receives and distributes incoming mall.
